Overview

Position summary

The Accounting Coordinator supports the Planning and Procurement Unit by performing a variety of accounting and administrative duties related to accounts payable, credit card processing, purchase orders and general procurement activities. This position plays an integral role in ensuring timely and accurate financial transactions, maintaining vendor relationships, and upholding compliance with Visit California’s financial and procurement policies.

The ideal candidate will have a strong attention to detail, be highly organized and demonstrate excellent communication skills in a collaborative team environment. Additionally, the candidate should have experience in finance administration and be able to work independently.

Areas of responsibility

30%

Assisting with processing of accounts payable and processing in financial software system; account coding and processing of invoices for payment; generation and distribution of reliable accounts payable information to internal stakeholders. Investigating and resolving customer queries.

20%

Processing credit card requests, collecting and reviewing employee credit card receipts, ensuring appropriate coding and assisting with reconciliation. Maintaining compliance with expense policies and timelines.

Supporting the end-to-end procure-to-pay process including creating and tracking purchase orders, coordinating with staff for approvals, processing encumbrance releases and ensuring procurement compliance with internal procedures.

Assisting in processing and tracking co-op (customer) partner and other non-assessment-related payments. Assisting in monitoring customer account details for non-payments, delayed payments and other irregularities.

20% 

Other finance and operational duties as assigned by supervisor.

Qualifications and experience

  • Effectively manage shared email inboxes, which can average 100+ emails per day.
  • Education equivalent to bachelor’s degree or higher in accounting, business administration, financial management or related field.
  • 1-3 years of experience in general accounts payable/receivables a plus.
  • Competency in a variety of Microsoft Office products including Word, Outlook and PowerPoint. Strong Excel skills required.
  • Strong writing and interpersonal skills, and a minimum typing speed of 40 words per minute.
  • Strong grammar and written communications skills.

Experience with any of the following systems is a plus but not required. You will be trained on how to use to complete your job responsibilities, where applicable.

Work environment

This position operates in a professional office setting and involves extensive computer and desk work. The Accounting Coordinator will use standard office equipment such as computers, phones, copiers and filing systems. The role follows a hybrid schedule, with an expectation of 2–3 days onsite in Sacramento, CA, and 2–3 days remote per week. Standard office hours apply, with occasional flexibility based on department needs.
